Attendees: Alissa Ashley-High, Shannon Wall, Ben Cooper, Emily Iannello, Dana Deldotto, Christine Escobeda, Arvind Batra
New board members: All new board members were approved collectively by the current board. The incoming board consists of the following
- Co-Presidents: Alissa Ashley-High and Shannon Wall
- Co Vice Presidents: Christine Escobeda and Karen Quintana
- Co Secretaries: Arvind Batra and Emily Iannello
- Treasure: Dana DelDotto
The outgoing board members are Co-President Greer Croxford and Treasurer Ben Cooper
- Financial review: Ben noted that all expenses and funds received are close to what we should have for end of year. We are around $21k net for the entire year, and this is $12k more than we budgeted, but it wasn’t a very accurate budget to begin with. We will need to move excess over to our financial goals account. For financial goals, we were informed that we are among the last on the list for playground updating, so we can still plan to use excess funds toward updating our playground. Ben checked in about tipping for Givebutter services. Every time he moves money over he is asked to tip, and he wasn’t sure if we are supposed to be doing that or not, although he has not at this time. It was stated that contributors are asked the same question and likely tip, so it is probably unnecessary for us to do so.
- Fun Fair review:
- Moving the event from outside to inside actually went great and everyone worked hard to pivot there. We had no complaints from staff about the building on Monday after the event
- We have 3 remaining auction items left; amount received was almost $8k, with almost all of that being net profit since everything is donated. For next year, we are considering the possibility of 3rd event for the PTO, March timeframe, for just the auction.
- Raffle baskets— A suggestion was made to send a flyer out ahead of time with the items in the raffle baskets so parents and students can know better how many tickets they may want to order.
- Tickets—There was a bottle-neck of people buying tickets and wristbands, so for future years we want to push pre-order to help relieve this. We are also considering doing away with the “single” raffle ticket option, which was more difficult to manage, and sell only in sheets with the minimum amount being whatever smallest sheet we have., also no more single tickets.
- Survey—There is a google doc survey located in the files from last year’s Fun Fair, Emily I. will edit this for this year and send out. food trucks, auction, raffles. Take out wristband and givebutter questions. We do want to have someone follow up with the food trucks to see how things went for them in the rain and if they would want to come back next year.
- Volunteers—we would like to consider “food vouchers” for the high school volunteers next year since many spent the entire day helping.
- Final meeting: Alissa would like to have one last meeting for final recap once all of the financials are in. Additionally, she would like a new board summer planning session. In these meetings we will discuss upcoming enrichments and plan or find out dates for the playground meet up, (plus rain date), open house date, kindergarten orientation date, and dinner dance date. The fun run date is already in. We also want to coordinate how we collect information for next year’s directory; Ashley Cameron maybe interested in helping with this. We also want to discuss who can take Gift of knowledge and Book Fair from Cheryl since she will be moving on from Spring Street soon. We also want to discuss how we can be sure the PTO is involved with the room parents and vice versa to get better participation and participation from each classroom.
- Future events: Considering things like Apex night and the Worcester Bravehearts
- Extra money—Since we are over budget, it was decided to do a last day of school, ice cream truck event. Shannon will look into Kona and Uhlman’s to arrange this and also discuss with Mr. Mabie.
