Meeting Minutes – January 10, 2023

I.  Approval of Minutes

  • November minutes approved

II.  Treasurer’s Report

  • Net revenue is ~$28k so far this year which includes Fun Run, Dinner Dance, etc.
  • Expenses are ~$8500 so far this year which includes Quick Books fees, teacher appreciation, subscriptions, etc.
  • Expected revenue for the rest of the year is ~$13k (not including Parents Night Out which will go toward the playground fund)
  • Expected expenses for the rest of the year are ~$17k
  • Goal is to carry over $10k to next year

III.  Website

  • Creation of a public PTO website is in process
  • Need to push people to the site through subscription feed, links in newsletter and Spring Street School website, etc
  • Will look into a way to highlight current event/news

IV.   Movie Night

  • Movie night will be Friday, 2/3 from 6:30-8:30 showing Lyle Lyle Crocodile
  • Selling popcorn and water for $1
  • Borrowing popcorn machine from Beal – will buy popcorn and supplies from Amazon
  • Waters leftover from Dinner Dance
  • License has been purchased for $450
  • Work with Greg Marceau on the technical aspects – will need screen, projector, DVD, DVD player/computer
  • Need to clarify that this is not a drop off event

V.  Worcester Railers Shrewsbury Day

  • Worcester Railers Shrewsbury Day is Sunday, 1/22
  • The mascot TRAX will be at the school on Wednesday, 1/18 from 8:30-9am to greet students as they enter the school

VI.  Playground Update

  • Decided on Ultiplay for the playground vendor
  • Goal is to make equipment more accessible and maximize play value
  • Due to budget constraints, will need to accomplish in two phases:
    • Phase 1 – Install swings and 4 standalone components, leaving the larger structure ($51k)
    • Phase 2 – Remove and replace the larger structure ($63k)
  • Next steps
    • Confirm how long the quote for Phase 2 will be honored for
    • Request a rendering of what the playground will look like after Phase 1 is complete (a blending of old and new equipment)
    • Explore partnership with town and determine town’s timeline for possible funding assistance – Mr. Mabie meeting with Dr. Sawyer and Patrick Collins on 1/27

VII.  Parents Night Out

  • Tentatively scheduled for March 2023 at the Haven
  • Board to meet next week to discuss timeline and logistics

VIII.  4th Grade Celebration

  • Mr. Mabie to talk to 4th grade teachers about reaching out to 4th grade parents
  • Not a PTO-driven event
